Our teams strive to build quality into every process with an aim of doing things right the first time, each time in a controlled environment with systems that comprehensively address data security and confidentiality requirements.

Measures

We have taken elaborate measures to ensure confidentiality and security:

  • Access to all entry points into and within the data center is protected by electronic access control mechanisms which includes biometric verification.
  • The facility also has a number of security cameras in place covering all critical areas, both inside and outside, of the data center.
  • Production workstations have no removal disk drives/printers/USB ports. These features are available only in the server room that has restricted access.
  • Only the system administration staff have access to the production servers and peripherals.
  • Access to web, email and all chat channels is by default revoked to all personnel and only granted to teams and staff members who are working on online indexing or web harvesting projects, or to staff with supervisorial and administrative level clearance.
  • Access to working data is through a central server and only to authenticated users.

  • All data transfers are carried out using secured FTP servers. Data is encrypted and password-protected using 128-bit or 256-bit AES encryption.
  • No papers and/or writing materials are allowed on the production floor. Separate storage areas are defined for personal belongings of staff.
  • All important projects, files and data are periodically backed-up on external hard drives as well as on cloud storage, and maintained until the successful completion of the project, or until the period the customer requests that we maintain them. All files are securely wiped thereafter.
  • Production staff is not permitted to carry any material off-site, including training manuals.
  • All visitors are properly identified with a current and valid form of identification and are given a temporary facility badge allowing access only to certain areas within the facility. Personal details and details of visits are also documented in the visitor’s register as well as maintained electronically.

Daily, weekly and monthly backups of all critical data and files is scheduled and stored on hard drives in a secured location in a separate facility as well as on an online cloud service to assist in easier recovery in the event of any unfortunate disaster.
